These Terms and Conditions (“Terms”) govern the registration and participation of all delegates (“Participants”) attending the Africa Automation Indaba 2026 (“the Event”). By completing an online booking, the Participant acknowledges that they have read, understood, and agree to be bound by these Terms.

1. Registration Fees
1.1 The delegate fee for attending the Event is R6 500 (excluding VAT) per Participant.
1.2 Full payment is required at the time of booking to secure a delegate seat.
1.3 RX Africa reserves the right to deny entry to the Event if payment has not been received in full prior to commencement.
2. Payment Terms
2.1 All registrations must be completed through the official online registration platform.
2.2 Payment is required immediately upon checkout and may be made via accepted payment methods, including EFT and credit/debit card.
2.3 Registrations without successful payment will be deemed incomplete and will not guarantee a delegate seat.
2.4 All invoices must be settled prior to the Event; failure to do so will result in non-admission.
3. Cancellation by the Delegate
3.1 All cancellations must be submitted in writing to RX Africa. The date of receipt of written notice determines the applicable refund.
3.2 Cancellations received in January or February 2026:
A refund of 25% of the delegate fee will be issued.
3.3 Cancellations received in March, April or May 2026:
No refund will be issued.
3.4 Delegates may nominate a substitute in writing at no additional cost, subject to approval by RX Africa.
4. Non-Attendance (No-Show Policy)
4.1 Failure to attend the Event for any reason — including where a written cancellation was submitted during a non-refundable period — will result in no refund.
4.2 The full delegate fee remains payable regardless of non-attendance.
5. Substitution of Delegates
5.1 A Participant may transfer their registration to another individual at any time prior to the Event, provided written notice is supplied to RX Africa.
5.2 No administrative fee will apply to substitutions.
5.3 Delegate badges may not be transferred on-site without prior written approval.
6. Event Amendments or Cancellation by RX Africa
6.1 RX Africa reserves the right to amend the Event programme, dates, venue, speakers, or format if deemed necessary.
6.2 Participants will be notified of any material changes as soon as reasonably possible.
6.3 Should RX Africa cancel the Event entirely, Participants’ delegate fee will transferred to the next Indaba event
6.4 RX Africa shall not be liable for any indirect costs incurred by Participants, including travel, accommodation, visa expenses, or other ancillary costs.
7. Force Majeure
7.1 RX Africa shall not be liable for any failure to host the Event or fulfil its obligations due to circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, pandemics, government restrictions, or acts of terrorism. Refund decisions under Force Majeure conditions will be made at the sole discretion of RX Africa.
8. Data Protection & Communications
8.1 By registering, Participants consent to RX Africa storing and processing their personal information for administrative, operational, and communication purposes related to the Event.
8.2 RX Africa may contact Participants regarding programme changes, event updates, and future industry-related events.
8.3 By registering, delegates consent to RX Africa processing their personal data for Event administration and communication purposes. Delegates further consent to receiving marketing communications regarding future events and industry updates, unless they opt out by notifying RX Africa in writing. Personal data will be processed in accordance with POPIA.
9. Confirmation of Registration
9.1 A booking confirmation email will be issued automatically once payment is successfully processed.
9.2 Participants must ensure all personal and billing information submitted is accurate.
9.3 If confirmation is not received within 24 hours, the Participant must contact RX Africa to validate their booking.
10. Changes to Delegate Information
10.1 Delegates may request changes or updates to their registration information in writing.
10.2 RX Africa is not responsible for missed notifications due to incorrect contact information supplied by the Participant.
11. Delegate Badges & Access
11.1 Access to the Event is granted only to Participants wearing a valid delegate badge.
11.2 Badges are non-transferable except under the approved substitution process.
11.3 Lost or damaged badges may incur a replacement fee.
12. Conduct & Professional Behaviour
12.1 Delegates are expected to behave professionally and respectfully at all times.
12.2 RX Africa reserves the right to remove any Participant from the Event without refund if their behaviour is unlawful, disruptive, discriminatory, or poses a risk to other attendees or staff.
12.3 RX Africa maintains a zero-tolerance policy for harassment, discrimination, or abusive behaviour. Any delegate engaging in such conduct may be removed from the Event without refund and may be barred from future RX Africa events.
13. Photography, Filming & Media Usage
13.1 By attending the Event, Participants consent to being photographed, filmed, or recorded.
13.2 RX Africa may use Event footage and imagery for marketing, reporting, editorial, and promotional purposes without requiring further consent or offering compensation.
14. Intellectual Property Rights
14.1 All intellectual property rights in presentations, materials, and content shared during the Event remain the property of RX Africa. Delegates may not reproduce, distribute, or use such materials for commercial purposes without prior written consent from RX Africa.
15. Limitation of Liability
15.1 RX Africa shall not be liable for any indirect, incidental, or consequential damages, including loss of profits, business interruption, or reputational harm, arising from participation in the Event. Liability for direct damages shall be limited to the amount of the delegate fee paid.
15.2 Participants are responsible for securing their own travel insurance, medical insurance, and protection of personal belongings.
16. Travel & Accommodation
16.1 Delegates are solely responsible for arranging and funding their travel, accommodation, transport, and visas.
16.2 RX Africa takes no responsibility for travel delays, cancellations, missed flights, or accommodation disputes.
16.3 Delegates with special accessibility needs or dietary requirements must notify RX Africa in writing at least 14 days prior to the Event. RX Africa will make reasonable efforts to accommodate such requests but cannot guarantee all requirements will be met.
17. No Resale of Delegate Passes
17.1 Delegate passes may not be resold or transferred for commercial gain.
17.2 Any attempt to resell or fraudulently transfer a pass will result in cancellation of the registration without refund.
18. Event Security Protocols
18.1 Delegates must comply with all venue security protocols, including ID verification, bag checks, safety instructions, and emergency procedures.
18.2 RX Africa reserves the right to refuse entry to delegates who do not comply with security measures.
19. Health & Safety Requirements
19.1 Delegates must comply with all health and safety protocols prescribed by RX Africa, the venue, or applicable authorities, including but not limited to vaccination requirements, mask mandates, and hygiene measures. RX Africa reserves the right to deny entry or remove any delegate who fails to comply with such protocols without refund
20. Terms Subject to Change
20.1 RX Africa may amend these Terms at any time.
20.2 Updated Terms will be published on the official Event website and become effective immediately upon publication.
21. Governing Law & Dispute Resolution
21.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of South Africa. Any dispute arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of South Africa.
22. Acceptance of Terms
22.1 Completion of the online registration process constitutes full acceptance of these Terms & Conditions. Delegates are advised to review them carefully prior to booking
